REFERENCECHECK / PURCHASE AGREEMENT

Your license.
Your payment terms.

Purchase policy version: 2026-10-01-rc-recurring-v1. These recurring rules apply to the new self-service Department licenses sold by Never Ending Solutions LLC. A separately signed institutional agreement controls an existing custom contract. Historical prepaid orders retain their accepted prepaid policy; these recurring rules do not convert an earlier order into automatic billing.

1. Your selected license

You receive a license to use standard hosted NES ReferenceCheck for your institution during the paid term. Your institution retains its rights in its records. The license does not transfer ownership of the software.

Amounts are USD before applicable tax. Your verified billing account shows the full tax and payment total before you authorize a charge. One workflow is one candidate reference check, including its referees and reminders. Candidate and referee secure links do not consume staff seats. Capacity is cumulative within each UTC calendar year; renewing or changing plans does not reset annual usage. A single paid month may use the remaining annual allowance.

Standard hosted setup, core survey and report functionality, ordinary question configuration and onboarding guidance are included. Custom SSO, ATS integration, migration, specialist questionnaire consulting and custom implementation require a separate written quote. Applicable tax is reviewed from your software-use location and verified exemption evidence before authorization. An exemption request does not establish exemption. Multiple software-use locations, purchase orders and institutional vendor review require reviewed procurement before paying.

2. Buyer verification and payment

You must be authorized to purchase for your institution. Create your buyer account and verify your work email. Provide your institution and software-use addresses for tax review. Account creation and tax review do not charge you or start a license.

Square handles secure card entry and stores the card you explicitly authorize NES to use for automatic renewal. You review your exact plan, cadence, tax, full total and recurring agreement before the first charge. A verified completed card capture permits organization setup only. An accounting entry, balance or return-page message alone does not authorize access. ACH and purchase orders require a reviewed quote from NES. A card capture does not establish a bank deposit date.

Your initial paid term begins when ReferenceCheck records successful activation after NES reviews your submitted setup. Activation is estimated within two hours after submission; NES emails you when the workspace is ready. This is an estimate rather than a guaranteed response time. If payment or activation is uncertain, resume the same order from your account or contact NES with its reference before paying again. Activation includes a working organization, administrator access and a standard survey template.

3. Automatic monthly or yearly renewal

Monthly authorizes one automatic full charge every month. Yearly authorizes one automatic full charge every twelve months. Yearly is not an installment plan. The first charge covers the initial term, which starts only at committed NES activation after organization review.

Subsequent charges are scheduled at the corresponding original activation date and time in UTC. A missing day is clamped to the last day of the month, including leap-day anniversaries, without moving the original anchor. Each confirmed renewal covers its originally scheduled term. A late payment does not extend that term. Your billing account shows the committed term dates and payment status.

Stop future automatic renewal from your verified billing account. Cancellation preserves confirmed paid access through its original term and does not refund it. A charge already submitted when cancellation arrives must be reconciled before its outcome is confirmed. Check the saved cycle before retrying an uncertain payment.

A declined, missed or uncertain payment does not create a paid term. Contact NES to resolve the exact cycle rather than create another order. Price or tax changes require reviewed new buyer authorization before a changed automatic charge. Plan changes require review; no mid-term prorating or new calendar-year workflow allowance is implied.

4. When a term ends

New workflows and invitations stop when the paid term expires. Existing workflows can be completed for seven days after the term under which they started expires. This completion window does not authorize a new workflow or new recipient invitation.

Ordinary product exports remain available during an active license and for 30 days after the latest effective paid term expires. A future scheduled term does not open access early. Sign-in, renewal, account security and applicable privacy or data-rights operations remain available.

Expiry does not automatically delete your records. Records remain subject to the privacy policy and valid deletion requests. These terms do not promise a new automatic purge schedule or waive any applicable privacy right.

5. Refunds

You may request a refund within 14 days after NES confirms activation or confirms a renewal, provided no institutional workflow has ever started. Saving an unused draft does not count as starting a workflow; activating it does. A workflow that was started and later deleted still counts.

After a workflow starts, the paid term is ordinarily nonrefundable, except for duplicate or incorrect charges, undelivered service or a mandatory legal right. Send your order reference and request to info@neverendingsolutions.com. Refunds are reviewed and handled by NES. A request alone does not prove a refund, cancel a payment or extend a term. NES records the confirmed refund and revokes the corresponding license; original purchase and audit records are preserved.

6. Product use and records

Use ReferenceCheck only for authorized institutional workflows and protect your administrator credentials. Your institution remains responsible for the accuracy, lawful collection and use of submitted information and its hiring decisions. ReferenceCheck does not guarantee a hiring outcome.

The NES privacy policy describes information handling. General NES service terms apply where relevant; the license, payment, renewal, refund, term-end and jurisdiction provisions on this page control this Department purchase if a general provision conflicts.

7. Governing jurisdiction and support

This purchase is governed by New York law, subject to any mandatory law that applies. For purchase, billing, access or procurement questions, contact info@neverendingsolutions.com and include your order reference. Do not send card numbers or passwords by email.
